Overview

AI Job Assistant ("we", "us", or "our") helps you create resumes, cover letters, and other job application materials using AI. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using our website, guest workspace, or signed-in account, you agree to this policy.

Information we collect

Depending on how you use the service, we may collect:

• Account information — your email address, display name, profile picture (if provided), authentication identifiers, and account status (including blocks or inactivity-related suspension).
• Authentication data — password hashes (we never store plaintext passwords), one-time passcodes (OTP), magic-link tokens, sign-in timestamps, verification state, and records of Terms & Privacy acceptance used to protect your account.
• Legal consent records — when you accept our Terms, Privacy Policy, and Refund Policy (including at signup or before a credit purchase), we store the acceptance date and time, policy versions, your user identifier, and related checkout context for audit and compliance.
• Career profile data — employment history, skills, education, contact details, preferences, and other information you enter or upload (for example, via PDF or DOCX resume import).
• Job application content — job descriptions you paste or save, prompts, and AI-generated documents you create.
• Saved job descriptions — job postings you store in your account for reuse across generators, including titles, employer names, and description text.
• Uploaded and generated files — resumes, exports (PDF, DOCX, and other formats), and related file metadata.
• Credits and billing data — credit balances, usage history, purchase records, and payment references processed by our payment partners. We do not store full payment card numbers on our servers.
• Usage and activity data — sign-ins, last activity timestamps, generations, profile updates, credit transactions, and feature usage, used to operate, secure, and improve the service.
• Guest workspace data — if you use the service without signing in, temporary session data is stored only for the duration of your session.
• Technical data — browser type, device information, IP address, and session cookies needed for security and authentication.

How we use your information

We use collected information to:

• Provide, maintain, and personalize the service.
• Generate AI-tailored resumes, cover letters, messages, and related documents based on your profile and inputs.
• Store your career profile, settings, and generated files when you are signed in.
• Authenticate you using email and password and/or OTP email codes and secure sign-in links, prevent abuse, enforce inactive-account policies, and protect account security.
• Process credit purchases, maintain credit balances for AI features, and review refund requests under our Refund Policy.
• Record and retain legal policy acceptance for purchases and account creation.
• Send transactional emails such as sign-in codes, inactivity reminders, suspension notices, and important service announcements.
• Monitor performance, fix issues, and improve features.

We do not sell your personal information.

AI processing

To generate content, your profile data, job descriptions, and prompts may be sent to third-party AI providers configured by the platform. These providers process data on our behalf to deliver AI responses. We use platform-managed AI settings; end users do not supply their own API keys through the app.

AI output is generated automatically. You are responsible for reviewing all content before sharing or submitting it to employers or third parties.

Storage and retention

• Signed-in accounts — profile data, saved job descriptions, settings, credit history, file metadata, and generated documents are stored while your account is active.
• Inactive accounts — if you do not sign in or use the service for an extended period, we may send reminder emails and suspend access according to our inactive-account policy. Suspension limits access but does not by itself permanently delete your stored data.
• Guest workspace — temporary data is deleted after download, session expiry, or cleanup of the guest session.
• Backups and logs — limited technical, billing, activity, and legal-consent records may be retained for security, troubleshooting, billing disputes, and compliance for a reasonable period.

If you delete your account from Account Settings or submit a verified deletion request, we will remove your personal data within a reasonable timeframe, except where retention is required by law, for billing records, or for legitimate security and fraud-prevention purposes.

Email notifications

We send emails necessary to operate the service, including one-time sign-in codes, magic links, inactivity warnings, account suspension notices, purchase confirmations where applicable, and critical service updates. These messages are transactional and not used for third-party advertising.

Sharing of information

We may share information only in these situations:

• Service providers — hosting, database, email delivery (OTP and account notices), payment processing, AI, and infrastructure partners that help us run the platform.
• Legal requirements — when required by law, regulation, or valid legal process.
• Protection — to enforce our Terms, prevent fraud or abuse, or protect the rights and safety of users and the service.

We do not share your career data with employers, recruiters, or advertisers unless you choose to send it yourself.

Security

We use reasonable technical and organizational measures to protect your data, including encrypted connections (HTTPS), access controls, and secure session handling. No online service can guarantee absolute security; please use a strong, unique email account and keep your sign-in credentials private.

Your choices and rights

You can:

• View and edit your career profile in the dashboard.
• Export your profile data (JSON) for backup or transfer.
• Manage saved job descriptions within your account limits.
• Delete generated files from your account.
• Delete your account and associated personal data from Account Settings (permanent and irreversible).
• Contact us to access, correct, export, or delete personal data where applicable law provides these rights.

Depending on your location, you may have additional privacy rights. We will respond to verified requests within a reasonable timeframe.

Cookies and sessions

We use essential cookies and session storage to keep you signed in, protect against abuse, and remember preferences such as theme settings. These are necessary for core functionality and are not used for third-party advertising.

Children's privacy

AI Job Assistant is intended for adults and job seekers. We do not knowingly collect personal information from children under 16. If you believe a child has provided us data, please contact us and we will take appropriate steps to remove it.

Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top will reflect the latest version. Continued use of the service after changes means you accept the updated policy.
